Job Title: Office Administrator/Receptionist

Job Summary: We are seeking a dynamic and organized individual to fill the role of Office Admin/Receptionist at The Neurodiversity Clinic. The ideal candidate will play a crucial role in ensuring the smooth operation of the clinic by managing administrative tasks, handling reception duties, and coordinating essential functions related to client appointments, insurance, and billing. This position requires excellent interpersonal skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  1. Reception and Front Desk Management:
    • Greet and assist clients in a welcoming and professional manner.
    • Manage phone calls, emails, and in-person inquiries.
    • Schedule and confirm client appointments.
    • Maintain a tidy and organized reception area.
  2. Insurance Coordination:
    • Work with the billing company to verify clients' insurance coverage and eligibility.
    • Liaise with our billing company to manage insurance claims and billing inquiries.
    • Maintain accurate and up-to-date insurance information for clients.
  3. Client Intake and Records Management:
    • Collect and organize client intake forms and necessary documentation.
    • Enter and update client information in the electronic health records (EHR) system.
    • Ensure confidentiality and compliance with privacy regulations.
  4. Appointment Coordination:
    • Coordinate and schedule appointments for clients and clinicians.
    • Manage appointment cancellations and rescheduling when necessary.
    • Send appointment reminders to clients.
  5. Billing and Financial Management:
    • Process payments from clients, both through insurance and private pay.
    • Generate invoices and receipts for clients.
    • Reconcile financial transactions and maintain accurate records.
  6. Office Administration:
    • Order and manage office supplies.
    • Assist with general administrative tasks to support the clinic's operations.
    • Collaborate with clinicians and other staff to ensure a cohesive and efficient work environment.

Qualifications:

  • Previous experience in office management, reception, or a related field.
  • Familiarity with mental health clinic operations and insurance processes.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in using office software and electronic health record systems.
  • Knowledge of insurance billing procedures is a plus.

Education: High school diploma or equivalent required. Additional coursework or certifications in office administration, healthcare administration, or a related field is a plus.
